Data collected and purposes
On the emity.io website, we process the following data:
- Contact forms and demonstration requests: surname, first name, email, telephone, company, message. Legal basis: steps taken prior to entering into a contract (art. 6.1.b GDPR). Retention: 3 years from the last contact.
- Cookies and audience measurement: see the dedicated section below.
- Access to the E-MANAGER platform: user name, business email, connection logs of users (our customers’ administrators and operators). Legal basis: performance of the contract (art. 6.1.b GDPR). Retention: for the term of the contract, then deletion or anonymisation of the logs within 6 months.
- Newsletter and marketing communications: business email, name, company. Legal basis: consent (art. 6.1.a GDPR). Retention: 3 years from the last active contact (open, click). You can unsubscribe at any time using the link included in every email.
EMITY acting as a processor
For E-MANAGER and the E-CLICK modules (Visitor Register, Queue Management, Room Booking and Smart Office), EMITY acts as a processor within the meaning of article 28 of the GDPR. The data processed in these modules (visitor data, flex-office employee data, queue user data) falls under the responsibility of the customer, who is the data controller. EMITY undertakes to process this data solely on the customer’s instructions, under a processing agreement that complies with the GDPR.
Record of processing activities
In accordance with article 30 of the GDPR, EMITY maintains a record of processing activities, which is updated regularly. This record lists all processing carried out by EMITY, both as a data controller (website, marketing, human resources, customer and partner management) and as a processor for the E-CLICK and E-MANAGER modules deployed at its customers’ sites. It is available on request from our DPO.
Your rights
Under the GDPR, you have the following rights over the data concerning you:
- Right of access, rectification and erasure
- Right to restriction of processing
- Right to object
- Right to data portability
- Right to withdraw your consent at any time

No data is transferred outside the European Union. The data is hosted in France by OVH.
Media
If you are a registered user uploading images to the website, we advise you to avoid uploading images containing EXIF data of GPS coordinates. Visitors to your website can download and extract location data from these images.
Cookies
The emity.io website uses cookies. On your first visit, a banner informs you of their presence and collects your consent before any non-essential cookie is placed.
- Strictly necessary cookies (no consent required): maintaining your session, remembering your language and privacy preferences. Duration: the session, or up to 1 year depending on the cookie.
- Analytics cookies (with consent): measuring website audience, analysing the pages visited and browsing behaviour. The data is pseudonymised. Maximum duration: 13 months, in line with the recommendations of the CNIL, the French data protection authority.
- Marketing cookies (with consent): tracking interactions with our content for prospecting and retargeting purposes.
You can change your preferences at any time by clicking “Gérer le consentement” at the bottom of the page, or by configuring your browser to refuse cookies. Refusing analytics and marketing cookies does not affect access to the website’s content.
Embedded content from other sites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Content integrated from other sites behaves in the same way as if the visitor were visiting that other site. Statistics and audience measurement
If you leave a comment, the comment and its metadata are kept indefinitely. This allows subsequent comments to be automatically recognized and approved instead of being left in the moderation queue.

Privacy policy — E-Box application

EMITY publishes and distributes the E-Box application (identifier emity.ebox), a digital signage player that displays multimedia content on screens, kiosks and devices managed remotely. E-Box is installed on equipment operated by our customers from the EMITY platform (E-MANAGER). It is a professional application: it is not intended for the general public and creates no personal user account on the device.

Data processed
- Device technical data, for operation, supervision and remote maintenance: technical identifier and player name, model, operating system and application version, IP address and network status, technical health indicators (temperature, memory, storage, USB peripherals, technical logs).
- Displayed content: the application downloads and displays the content (images, videos, web pages) scheduled by the customer from the EMITY platform.
- Footfall measurement, where the option is enabled: aggregated, anonymous attendance data only. These measurements cannot identify a person and retain no image, no video and no biometric data.
What we do not collect
E-Box collects no name, e-mail address, telephone number, contacts, precise location or financial data relating to people passing in front of the screens. The application does not record microphone sound: the audio permission is used solely to play the soundtrack of videos.
Purposes and legal bases (GDPR)
- Operation of the player and delivery of content: performance of the contract.
- Supervision, maintenance and updates: legitimate interest.
- Anonymous footfall measurement: legitimate interest, as anonymous statistics.
- Security: legitimate interest.
Recipients
Technical and supervision data is transmitted to the servers of the EMITY platform for the management of the screen estate. It is neither sold, nor rented, nor transferred to third parties for advertising purposes.
It may be disclosed to the customer who owns the screen estate, to our technical service providers — bound by an obligation of confidentiality — and to the authorities where the law so requires.
Hosting
Data is hosted in France by OVH, 2 rue Kellermann, 59100 Roubaix. No transfer takes place outside the European Union.
Retention periods
- Technical and supervision data: retained for the term of the contract, then deleted or anonymised.
- Technical logs: retained for the limited period needed for diagnosis.
- Footfall statistics: retained in anonymous, aggregated form.
Security
EMITY implements appropriate technical and organisational measures: encrypted communications, access control and system maintenance.
Your rights
Under the GDPR, you have the right of access, rectification, erasure, restriction, objection and portability regarding data concerning you. To exercise these rights, write to contact@emity.io.
You may also lodge a complaint with the French data protection authority, the CNIL: www.cnil.fr.
Children
E-Box is a professional application that is not intended for children. No data relating to minors is knowingly collected.
Changes to this policy
